Getting 300 leads in 30 days sounds like a massive win for any small business. And it is - until you realise that someone has to manually process every single one of those inquiries.
When we turned on Facebook ads for the Academy of Makeup, the leads flooded in. We hit 300 leads in a month. The problem became immediately obvious: the manual data entry was taking hours, Course Advisors were overwhelmed, and leads were at risk of slipping through the cracks because they weren't being followed up fast enough.
A marketing success was rapidly becoming an operational nightmare.
We didn't need to hire more administrative staff. We needed a system. Here is the exact Airtable and Zapier lead management system I built to handle the flood, ensuring zero manual entry, automated follow-ups, and no lost leads.

The Problem: Disconnected Tools
Before the system was built, the process looked like this:
1 A lead clicked an ad and filled out a form.
2 An email notification was sent to a shared inbox.
3 A Course Advisor had to manually read the email, type the lead's details into a spreadsheet, and try to remember to email them a brochure.
4 If the lead didn't reply, the Course Advisor had to manually track them down a week later to follow up.
It was slow, highly prone to human error, and completely unscalable.
The Solution: The Automated Lead Flow
To fix this, I designed a workflow using three core tools: POWR Forms (for capture), Airtable (for the database), and Mailchimp (for automated communication). I used Zapier as the bridge to connect them all.
Here is how the automated system worked.
Step 1: Automated Capture and Entry
We replaced the messy email notifications with a clean POWR form on the website. When a lead filled out the form, two things happened instantly:
1. The POWR form's auto-responder immediately sent the lead a personalized email containing the course download they requested. The lead got what they wanted in seconds.
2. Zapier stepped in. It took the lead's basic information from the POWR form and automatically created a new, clean record in our Airtable database.
The Airtable database now had a new lead, ready to be followed up by a Course Advisor, with zero manual data entry required.
Step 2: Automated Segmentation
Simultaneously, Zapier ran a second flow. It took that same lead information and added it to our Mailchimp audience.
Crucially, Zapier applied specific tags to the lead in Mailchimp based on the course they inquired about. These tags were universally used across both Airtable and Mailchimp, ensuring our data was perfectly aligned. By tagging them in Mailchimp, the lead was automatically dropped into the correct email marketing nurture sequence.
Step 3: The Safety Net (Automated Follow-Up)
Even with the data organized, Course Advisors get busy. Sometimes, a lead would sit in Airtable without being contacted personally.
To prevent leads from going cold, I built a safety net automation. If a lead sat in Airtable with no logged Course Advisor activity for 14 days, an automation triggered a semi-generic follow-up email. This ensured that even if human error occurred, the lead still received communication from the Academy.
Step 4: The Accountability Report
Finally, to close the loop, Airtable used an automation to send a weekly summary report to the Course Advisors. This report listed exactly which leads had received the automated 14-day follow-up email and now urgently required a personal phone call or email from the sales rep.
(Note: Building the 14-day automated email and report system was complex and required troubleshooting to prevent duplicate emails, but the core structure proved that safety nets can be automated).
The Result: Scalable Growth
By implementing this system, we completely removed manual data entry from the sales process.
Course Advisors stopped acting as administrators and went back to being sales professionals. They opened Airtable each morning to find a clean, prioritised list of leads who had already received their requested brochures and were actively receiving marketing emails.
When you build a system like this, 300 leads stops being an operational nightmare and goes back to being exactly what it should be: a massive win for the business.
